If you manage accounting for a UAE business, you have likely encountered this scenario: you check your bank ledger balance in Tally, log into your corporate net banking portal (Emirates NBD, ADCB, FAB, or Mashreq), and discover the two numbers differ by thousands of Dirhams.
Your immediate instinct might be to suspect an error in your books. In most cases, however, you have made no mistake at all. The discrepancy is simply down to timing differences and unrecorded bank activities. A cheque issued to a supplier has not yet been presented, a customer remittance is clearing, or the bank quietly deducted account fees. A Bank Reconciliation Statement (BRS) is the systematic process of identifying, explaining, and reconciling that gap.
A BRS is essentially a side-by-side verification mechanism:
The objective of a BRS is not to artificially force both figures to match. Rather, it is to isolate the exact reasons why they differ, ensure internal control over company liquidity, and record any genuine transactions that occurred on the bank statement without your prior knowledge.
In routine UAE corporate banking, discrepancies arise from a few frequent causes:
You hand a supplier a post-dated or current cheque on the 28th of the month and enter it into Tally immediately. If the vendor deposits the cheque on the 3rd of the following month, your books show the cash disbursed while the bank still carries the balance.
Customer cheques deposited before a weekend or public holiday require inter-bank clearing cycles (UAE ICCS). Tally debits the bank immediately, but the funds appear on your bank statement 1–2 working days later.
Account maintenance charges, inward/outward SWIFT transfer charges, POS rental charges, and VAT on banking services are debited without prior notifications.
Customers transferring funds directly via wire/IBAN, interest credits, or auto-debit standing instructions (utility bills, lease payments) remain unrecorded in Tally until the statement is audited.
Consider an end-of-month reconciliation scenario for a Dubai commercial entity:
| Particulars | Amount (AED) | Classification & Action |
|---|---|---|
| Balance as per Cash Book (Tally) | 85,000.00 | Starting point |
| Add: Cheques issued but not yet presented | +15,000.00 | Timing difference (Self-correcting) |
| Less: Cheques deposited but not yet cleared | -8,000.00 | Timing difference (Self-correcting) |
| Less: Bank service charges not entered in books | -500.00 | Real transaction (Enter F5 Payment) |
| Add: Interest credited by bank not entered in books | +1,200.00 | Real transaction (Enter F6 Receipt) |
| Balance as per Bank Statement (Pass Book) | 92,700.00 | Target Statement Balance |
In Tally ERP 9, reconciliation follows a straightforward manual date-stamping routine:
Tally Prime transforms bank reconciliation into an automated process through e-Banking statement imports:
Export your monthly statement from your UAE corporate banking portal in supported formats (Excel, CSV, XML, or MT940).
From Gateway of Tally, go to Banking > Bank Reconciliation and choose your primary operational bank ledger.
Click Import > Bank Statement (Alt + O) from the top navigation and select the downloaded file from your directory.
Tally Prime instantly matches statement records with recorded vouchers using cheque numbers and amounts, stamping bank dates automatically.
Only unmatched entries remain highlighted. Create quick payment vouchers (Alt + J) for unrecorded bank charges directly from this view.
Whenever company liquidity leaves your cash or bank accounts, you record a Payment Voucher (F5).
| Ledger | Debit (AED) | Credit (AED) |
|---|---|---|
| Rent Expense A/c | 10,000.00 | — |
| Bank A/c | — | 10,000.00 |
Bank charges represent deductible business expenses. To maintain clean audit trails:
| Ledger | Debit (AED) | Credit (AED) |
|---|---|---|
| Bank Charges A/c (Indirect Expenses) | 500.00 | — |
| Bank A/c | — | 500.00 |
When issuing funds prior to receipt of supplier goods or tax invoices, the payment is an asset rather than an immediate expense. Tally Prime offers two robust methods:
Supplier Advance A/c under Loans & Advances (Asset), credit the Bank account, and reclassify via Journal once the tax invoice arrives. An unpresented cheque is an active corporate liability. In Tally, leaving the Bank Date blank retains the transaction under unpresented items. However, finance teams must audit this register monthly. Under UAE commercial law, commercial cheques carry legal validity windows. If a cheque remains unpresented past 6 months, verify with the vendor to cancel and reissue.
| Feature / Workflow | Tally.ERP 9 | Tally Prime |
|---|---|---|
| Manual BRS Entry | Supported (Alt + R) | Supported with simplified table view |
| E-Banking Statement Import | Basic support, requires format mapping | Native multi-format auto import (Excel, XML, CSV) |
| Auto-Matching Engine | Requires manual initiation | Instant automated matching by instrument & amount |
| Unreconciled Exception Handling | Multi-step menu navigation | Direct on-screen voucher creation (Alt + J) |
| User Interface | Traditional menu-driven screen | Modern, responsive, mouse & keyboard friendly |
Accumulating twelve months of unrecorded bank fees creates an exhausting year-end reconciliation backlog and distorts monthly P&L reporting.
Mistyping even a single digit in the instrument number field breaks Tally Prime’s automated matching engine, forcing tedious manual tracking.
Recording a payment once when approving a supplier bill, and a second time when importing the bank statement, artificially doubles your reported expenses.
Allowing issued cheques to linger in reconciliation reports for over six months understates actual cash availability and distorts vendor balances.
Bank reconciliation is the process of matching internal bank ledger transactions in Tally with your official bank account statement. In Tally ERP 9, it is done by entering Bank Dates for cleared entries. In Tally Prime, it can be automated via electronic bank statement import.
Press F5 for a Payment voucher, debit the Bank Charges account (under Indirect Expenses), and credit the respective Bank account using the exact debit date from the bank statement.
An unpresented cheque is a payment cheque you have issued and recorded in Tally, but the payee has not yet deposited or cleared through the banking clearing system. In Tally, you leave its Bank Date blank during BRS.
Yes. Tally Prime supports e-banking statement imports (Excel, CSV, XML formats). The software automatically matches statement lines with recorded vouchers using cheque numbers and transaction amounts.
Use a Payment voucher (F5) with bill-wise details enabled. Debit the supplier’s ledger and set the reference type to ‘Advance’. When the supplier’s final purchase invoice arrives, adjust it against this advance reference.
