Quick Navigation • Warehouse Operations Guide
When a trading or distribution business is small, managing stock in your head or on a basic spreadsheet feels manageable. You know roughly what is sitting on the shelf and what needs reordering. That approach breaks down rapidly as operations scale. Soon you have hundreds of active SKUs, two or three warehouse locations across the UAE, purchase rates that fluctuate with every shipment, and perishable products that lose value if they sit in a godown too long. One missed dispatch entry and your books report 50 units in stock while the physical shelf is empty.
Inventory management in Tally Prime provides enterprise-grade control over this entire lifecycle. It records every stock movement, tracks precisely what sits in which warehouse or godown, monitors batches and expiration dates, and produces audit-ready stock valuation statements.
Inventory management in Tally is the unified framework used to record, value, and control every physical movement of your goods: supplier purchases, customer dispatches, internal inter-branch transfers, manufacturing consumption, and physical count reconciliations.
Instead of relying on disconnected stock registers, finance and logistics teams receive instantaneous insights into:
Before creating inventory items or recording warehouse receipts, enable the relevant inventory switches in Tally Prime:
Flawless inventory control depends on well-structured masters: Stock Groups, Units of Measurement, and Stock Items.
| Master Level | Function & Best Practice | Practical Examples |
|---|---|---|
| Stock Groups | Categorises similar items together for streamlined reporting and tax rate inheritance. | Electronics, Pharmaceuticals, Building Materials, Raw Materials, Finished Goods |
| Units of Measure (UoM) | Defines the physical counting unit. Supports simple and compound units (e.g., Box of 24 Pcs). | Pcs, Nos, Kgs, Litres, Box, Ctn |
| Stock Items | The specific SKU bought and sold. Captures group, unit, opening stock, standard cost, and VAT rate. | HP LaserJet Toner 85A, Paracetamol 500mg, Portland Cement 50kg |
Commercial enterprises frequently store stock across multiple strategic locations: a central storage warehouse in Al Quoz, a retail showroom in Deira, a regional distribution hub in JAFZA, or production floor inventory. In Tally Prime, each physical or logical repository is established as a Godown.
With multi-godown tracking enabled, your management team can:
Tally automatically establishes a default primary godown named Main Location. To add your specialized facilities:
Central Warehouse - Al Quoz or Retail Store - Deira).Primary (or assign under a parent regional godown). When stock shifts between company locations without a commercial sale or purchase (e.g., replenishing a retail branch from your central depot), record a Godown Transfer Entry using the Stock Journal (Alt + F7).
| Stock Journal Pane | Field Name | Operational Detail |
|---|---|---|
| Source (Consumption) | Name of Item & Godown | Select the item, the sending godown, quantity, and cost rate. |
| Destination (Production) | Name of Item & Godown | Select the same item, the receiving godown, and identical quantity. |
For sectors handling regulated or perishable commodities — such as pharmaceuticals, packaged foodstuffs, industrial chemicals, and cosmetics — batch tracking is mandatory. Batch-wise details in Tally allow you to associate every incoming unit with its unique manufacturer lot number, production date, and expiration timeline.
Whenever this item is selected in a Purchase (F9) or Sales (F8) voucher, Tally automatically presents the batch selection window.
Allowing perishable goods to expire unnoticed on warehouse shelves damages profitability and risks regulatory non-compliance with UAE municipality hygiene standards.
With expiry date tracking in Tally, your team can:
Excessive inventory ties up vital working capital; inadequate inventory leads to cancelled customer orders. Reorder levels in Tally establish mathematical safety buffers.
A reorder level represents the minimum quantity threshold that triggers purchase requisition. For example, if minimum buffer is set to 100 units and supplier lead time is 7 days with daily consumption of 10 units, your reorder level is 170 units. The moment stock dips below 170, Tally’s Reorder Status Report highlights the shortfall and suggests exact reorder quantities.
The valuation methodology chosen directly impacts reported Cost of Goods Sold (COGS), gross profitability, and corporate tax calculations under UAE 9% Corporate Tax regulations.
| Valuation Method | Calculation Logic | Best Suited For |
|---|---|---|
| FIFO (First In First Out) | Assumes oldest purchased inventory is dispatched first. During rising prices, reports higher closing asset value. | FMCG, Pharmaceuticals, Perishables, Retail |
| Weighted Average Cost | Smooths price fluctuations by dividing total purchase value by total units on hand. | Building Materials, Bulk Commodities, Hardware |
| Last Purchase Cost | Values entire closing inventory at the most recent purchase invoice rate. | Businesses prioritizing immediate replacement costing |
| Standard Cost | Values inventory at a predetermined benchmark cost, isolating price variances. | Manufacturing & Assembly Operations |
Day-to-day warehouse operations are managed through four foundational vouchers:
Records incoming goods, updates batch details, and increments destination godown stock.
Decrements godown stock, validates batch expiry, and recognizes revenue and Output VAT.
Facilitates inter-godown stock transfers and manufacturing consumption/production entries.
Reconciles physical count variances by overriding book balances to match actual shelf counts.
Creating multiple SKUs for the same product (e.g., Toner 85A and HP 85A Toner) fragments stock registers and distorts inventory valuation.
Moving goods physically between warehouses without passing an Alt + F7 Stock Journal causes false stockouts at receiving locations.
Switching between FIFO and Average Cost mid-fiscal year distorts gross margins and draws auditor scrutiny during year-end financial reporting.
Go to Gateway of Tally > Vouchers and press Alt+F7 to open the Stock Journal voucher. Under Source (Consumption), select the sending godown, item, and quantity. Under Destination (Production), select the receiving godown, item, and quantity, then press Ctrl+A to save.
Enable ‘Maintain Batch-wise Details’ in F11 Features, and set ‘Maintain in Batches’ to Yes on the Stock Item master. During purchase entry, you assign batch numbers, manufacturing dates, and expiry dates. During sales vouchers, Tally prompts you to pick specific batches.
Tally Prime supports FIFO (First In First Out), Weighted Average Cost, Monthly Average Cost, Standard Cost, Last Purchase Cost, and At Zero Cost. The valuation method determines the cost of goods sold and closing inventory balance on your Balance Sheet.
A reorder level is a preset threshold representing the minimum inventory quantity required before placing a replenishment order. When stock reaches this level, Tally flags the item in the Reorder Status report to prevent stockouts.
Use the Physical Stock Voucher (Alt+F10). Entering actual physically counted quantities automatically adjusts stock registers and posts inventory discrepancy write-offs or write-ins.
